Employment Documents in Hungary: What Every Employer Needs on File

A signed contract is only the start of compliant employment in Hungary. Employers also need written employment information, working-time records and a set of policies that match how the job really works, and the first of these is due within days of the employee's start date.

The core file for every hire

Every employee needs a written employment contract. In addition, the Labour Code requires the employer to give written information on the essential terms of employment, such as how pay is set and paid and how paid leave is calculated. Since the 2023 amendments, that information must be given at the contract signing, or no later within 7 days of the start of employment. Changes must be communicated on the day they take effect. A written job description, working-time records, occupational health and safety information documentation and a data-protection notice complete the baseline.

Policies that depend on how the role works

Some documents only become necessary because of how a role is set up. If overtime, standby, shift or holiday work is part of normal operations, the rules should be in writing before any such work is ordered. The same applies to working-time banking, remote work and workplace monitoring such as CCTV or access control. Hungarian law treats occasional home office and regular telework differently, so the paperwork should match the actual arrangement. Bonuses, fringe benefits and company cars should also be documented, so nobody has to guess what was promised.

Language and evidence

Employment documents do not have to be in Hungarian, but both parties must understand them, and a Hungarian court will ask for a Hungarian version in a dispute. For international hires, the practical answer is bilingual documents that state which language prevails. Above all, documents need to match what happens in practice. A monitoring notice or working-time policy that describes something other than reality offers little protection.

Why one accountable employer matters

Documentation gaps tend to appear where responsibility is split, for example when a platform drafts the contract, a local partner holds the payroll and nobody owns the health-and-safety file. Xpandium employs people in Hungary through its own Hungarian legal entity, so the contract, statutory information, working-time records and policies are prepared and kept by the same accountable employer from day one.
